Updates and News
I-9 Update
As we transition faculty jobs to personnel actions, we have been discussing how the I-9 process aligns with these changes.
Currently, for our 9/12 month faculty, we use the contract start date instead of the official July 1 hire date to complete the I-9. This adjustment was made because many faculty members were not on campus in early July to present their documentation in person. However, this approach has put us out of compliance with USCIS regulations. Since 9/12 month faculty are considered employees as of July 1, receiving both compensation and benefits, their I-9s must be completed accordingly.
To address the challenge of faculty not being on campus to present their documents, Human Resources has implemented a solution: faculty can now schedule an appointment with an HR representative to present their documents via Zoom. This option will also be available for international faculty hires.
We plan to implement this new process starting in June.
Appointment Materials Updates
- The Secondary Fellow Appointment process has been simplified. Now, only a signed appointment letter and data entry are required. The Request for Appointment Form, CV, and draft appointment letter are no longer needed.
- The Summary IRIF is no longer required for new hires. Since applicant pool data is now stored in the data lake, we can retrieve historical hiring pool information through our reporting tools if needed. For any checklists already started, you can upload a document that says "no longer required."
OnBase Phase 2 Project Completion
The final feature updates for the OnBase Phase 2 project will be rolled out in the coming days. Below are the new features, and you can learn more about them here.

Although the Phase 2 project has ended, we are continuing work on the web user interface. In the coming weeks, pilot users will begin testing the new interface. We aim to roll out the web interface campus-wide over the spring semester.
Survey Requests for Data
The Office of Institutional, Research, Innovation and Strategy (IRIS) is responsible for all external reporting. This includes reporting data for discipline-specific surveys that might come through your department. We know such surveys can help with recruiting and benchmarking other measures against our peers. IRIS helps to ensure that the survey instrument has robust standards for reporting and that our data is provided using consistent standards. If you know of a survey your department is considering, please contact Brandy Rypma in IR for assistance.

Office Hours
